Position summary: Roy Jorgensen Associates, Inc. is currently seeking full-time Fleet Administrative Assistant to join our team at the corporate office in Frederick, MD. This position supports the fleet team with tasks related to a lease program of over 700 assets, assists with asset damage claims involving insurance companies, and provides support in the issuance of employee fuel pins and GPS monitoring/updates within our supporting systems.

Salary: $21-$23/hr depending on experience 

Schedule: Full time, reporting to the corporate office.

Responsibilities: Administrative Assistant with the Fleet program to include:

  • Assist project/field with status of purchases, insurance claims, registration, GPS Tracking etc.
  • Working in the latest technology to monitor, report, and communicate on alerts such as speeding, GPS-geofencing.
  • Responding to project/field needs and questions timely
  • Provide fuel pins for new hires.
  • Processing invoices daily
  • Reviewing reports to identify issues and recommending solutions.
  • Staying up to date and compliant with all vehicle titles, registrations, and tags.
    • Set-up, review and communicate preventative maintenance (PM) schedules.
    • Record PM completion.
    • Assist in-house mechanic shops recording work activity.
  • Intake customer service for Property damage claims and related repairs and Work with Insurance companies to process claims. Assisting with purchasing and inventory management
  • Develop strong customer service-oriented relationships with project personnel.

Qualifications:

 
  • High School Diploma/GED
  • Customer service orientation
  • Excellent organization and independent work skills
  • Detail Oriented
  • Knowledge and ability to adapt to the latest technology
  • Problem solver; analytical thinking skills
  • Strong oral and written communication skills
  • Excellent general computer skills, including MS Excel and other Microsoft products
  • Maintain company standards for background checks (i.e. criminal record, driving record and controlled substance/drug testing)
  • Bilingual a plus
Preferred:
  • Preference for fleet management or procurement experience
  • Insurance Claim Processing Preferred
