Position Summary: Roy Jorgensen Associates, Inc. has an immediate opening for a full time Administrative Assistant to perform administrative operations in the Addison, TX area. This position requires performing a variety of tasks related general office administration support and adherence to all applicable federal, state, and local regulations, as well as Jorgensen Company policies and procedures.

Responsibilities:
  • Administer and maintain in-house database management system including but not limited to work order management, module management, querying reports, review of customer service requests, etc.
  • Answer, screen, and direct all incoming communications.
  • Replenishes/maintain office and shop inventory as directed.
  • Create and modify documents using Microsoft Office products.
  • Perform general clerical duties: photocopying, faxing, mailing, filing, and manage voice mail system.
  • Maintain an effective medium of communication and close collaboration among clients and team members in the organization.
  • Apply customer service focus to all job duties.
  • Support project scheduling.
  • Must be a team player and be able to take on new responsibilities
  • Must be able to travel to other project sites in TX once a quarter
  • Must have valid driver license when traveling
Required Experience:
  • Customer service orientation
  • Must have advanced level skill sin Excel and other Microsoft office suite programs
  • Experience managing heavy workloads in a fast paced environment
  • Database management experience, including data entry, invoicing
  • Patient and strong in relationship building
  • Strong oral and written communication skills, technical writing and proposals a must
  • Excellent filing and organization skills
  • Excellent attention to detail
  • Good general computer skills
  • Technical skills – math, analysis (data) problem solving skills, can follow processes, and develop strategy
Preferred Experience:
  • Prior customer service support or call management process experience
  • Construction or Maintenance Industry experience
  • Bilingual (English and Spanish)

Qualifications:
  • High School Diploma or GED; some college courses preferred, but not required
  • Maintain company standards for background checks (i.e. criminal record, driving record and controlled substance/drug testing)
  • Dependable and highly organized with business and maturity, discretion, enthusiasm, and positive attitude.
  • Ability to perform multiple, non-technical tasks with a potential need to upgrade skills in the order to meet changing job conditions
  • Knowledge of general administrative activities
  • Knowledge of misc. phone and messaging systems
  • Self-starter who can work independently and adapt to changes in fast paced environment
  • Neat, clean and presentable appearance
Schedule:
Full time, M - F 7:30am - 4:00pm. Must be able to work flexible hours when needed, including during month end and weather events.
