Position summary: Roy Jorgensen Associates, Inc. is currently seeking a part-time Administrative Assistant to perform administrative operations at our West Operations center located in Addison, TX.  This position requires performing a variety of tasks related to office administration and adherence to all applicable federal, state, and local regulations, as well as Jorgensen Company policies and procedures.

The responsibilities of this position include, but are not limited to:
  • Answer and complete follow up calls with project staff, clients, vendors, etc. to obtain information regarding work performed/to be performed.
  • Administer and maintain in-house database management system.
  • Perform general clerical duties.
  • Be a dependable, reliable, and highly organized member of the team with focus on safety, business maturity, discretion, enthusiasm, and a positive attitude.
Required Experience:
At least one (1) year experience performing general clerical duties: photocopying, faxing, mailing, filing, and managing voicemail system
At least one (1) year experience administering and maintaining in-house database management system
Skilled in establishing priorities and managing heavy workloads
Excellent verbal and written skills

Preferred Experience:
Construction or Maintenance Industry administrative experience
Bilingual (English and Spanish)

Ability:
Ability to adapt and champion accelerated company initiatives
Ability to manage in-house database systems
Spreadsheet management
Experience with vendor invoicing
Perform basic math skills including calculations using fractions, percentages, and/or ratios
Understand multi-step written and oral instructions
Self-starter who can work independently
Dependable and highly organized with business maturity, discretion, enthusiasm, and a positive attitude
Organization and prioritization
Completing assignments on time

Qualifications:
High School Diploma, some college courses required with College Degree preferred
Knowledge of administrative activities
Knowledge of phone and messaging systems
Knowledge of Microsoft Office software
Solid organizational planning
Proper phone technique and protocol
Excellent verbal and written skills
Skill in establishing priorities and managing work loads
Ability to perform multiple, non-technical tasks with a potential need to upgrade skills in the order to meet changing job conditions
Neat and legible handwriting skills
Perform  basic math skills including calculations using fractions, percent, and/ratios
Read and understand manuals, write documents following prescribed formats
Understand multi-step written and oral instructions
Self-starter who can work independently
Dependable and highly organized with business and maturity, discretion, enthusiasm, and positive attitude
 
Schedule:
Part time; Monday - Friday. Minimum of 20 hours per week. Must be able to work during month end.
